Odoo Contacts

It all starts with a flawless record.

Contacts looks like the boring module until it fails: then the invoice goes out with the old tax ID, the delivery note heads to the warehouse they shut down last year, and the same customer shows up three times with three different balances. In Odoo that record is the piece CRM, sales, purchasing, invoicing and logistics all lean on — a single one, shared — and that is why the work here is not decorative: it is what prevents discrepancies in every other module.

Companies and their people

The company as the main record and its contacts as children, each with their job title, their email and their phone. You write to the right buyer and invoice the right company without duplicating records along the way.

Every address in its place

Separate billing and delivery addresses, with several sites if you need them. The order picks the right one and the delivery note goes to the right warehouse, which is where the consequences of a careless record show up.

Tax details that add up

Tax ID, tax regime and fiscal position on the record itself, with validation of the European identifier when you invoice abroad. Taxes apply themselves by country and customer type, with nothing to decide invoice by invoice.

Duplicates out

A merge tool that finds repeated records and joins them keeping their history: orders, invoices and emails end up under a single contact. Without it, any customer report lies and nobody knows why.

The whole history in one place

Emails, internal notes, activities, orders and invoices hang off the record. Whoever picks up the phone sees what was discussed and what is owed, even if the person who discussed it has left the company.

Synced with whatever you have

With our integrations, the record travels to the website, the marketplace or the marketing tool you use, with a single source of truth. The alternative — four databases disagreeing — always ends up costing more.

Questions we get asked

We have the same customer repeated several times. Can that be fixed?
Yes, with the contact merge tool: it proposes the records that look like the same one, you confirm, and they are unified keeping orders, invoices and conversations. The usual approach is one cleanup at migration and then preventing it from happening again.
Can the tax ID or the European VAT number be validated?
Yes, the record stores the tax identifier and can check the European ones against the EU register. That is what prevents rejected invoices and after-the-fact corrections when you sell outside Spain.
Can we have several delivery addresses per customer?
As many as you need, on top of the billing one. On the order you pick which one applies, and the delivery note and the invoice each go where they belong, with no workarounds and no notes in the comments field.
Can contacts be synced with other systems?
Yes, it is one of the things we do most: keep Odoo as the source of truth and sync with the website, the marketplaces or the marketing tool. An address change is made once and reaches every system.
